Key Responsibilities
As an Office Executive Secretary at Malinyi District Council, the successful candidate will be expected to carry out the following duties:
- Typing letters, reports, and other official documents including both ordinary and confidential correspondence
- Receiving and attending to visitors, understanding their needs and directing them appropriately
- Maintaining accurate records of events, appointments, meeting schedules, and the supervisor’s travel itinerary
- Retrieving files and documents required for the execution of official duties
- Receiving, distributing, and routing files to the relevant departments, units, and offices
- Collecting, storing, and returning files and documents to their appropriate locations
- Preparing meeting agendas and making necessary arrangements for various official meetings
- Preparing lists of required office supplies and stationery
- Performing any other official duties as assigned by the supervisor
Minimum Qualifications and Requirements
To be considered for this position, applicants must meet the following academic and professional requirements:
Education:
- Certificate of Secondary Education (Form Four) or Advanced Certificate of Secondary Education (Form Six)
Professional Qualifications:
- Diploma in Secretarial Studies (Stashahada ya Uhazili) OR
- NTA Level 6 Certificate in Secretarial Studies from a government-recognised institution
Typing Speed:
- Minimum typing speed of 100 words per minute in both Kiswahili and English
Computer Skills:
- Proficiency in Microsoft Word
- Proficiency in Microsoft Excel
- Proficiency in Microsoft PowerPoint
- Knowledge of Internet and Email usage
- Knowledge of Microsoft Publisher
All computer qualifications must be obtained from a recognised institution.
